If you're organising a school trip, this probably sounds familiar:

  • Chasing parents for payments as the trip deadline gets closer
  • Collecting and reconciling cash or cheques
  • Unclear who's paid without checking spreadsheets or paper lists
  • Last-minute payments that complicate booking numbers
  • Spending admin time tracking payments instead of planning the trip

How it works

Three steps to collect trip payments

Create a payment link

Set the trip amount and a clear payment deadline so you know exactly who is confirmed.

Share with parents

Send the link by email, letter or your usual communication channel. Parents pay without creating an account.

See who's paid instantly

Your dashboard shows confirmed payments at a glance. Fewer reminders, less admin.

Why it works for school trips

  • One link per trip; all payments in one place
  • Clear view of who has paid for planning and confirmations
  • No cash or cheques to collect and bank
  • Set deadlines to avoid last-minute uncertainty
  • Reduce admin time spent chasing payments

Why not just collect cash or bank transfers?

FAQ

Frequently asked questions

  • Do parents need to create an account to pay?

No — the link works on any phone or laptop without any setup. Parents receive it via email, the school newsletter or the class WhatsApp group and pay in a couple of taps. Only the teacher or trip coordinator needs a Kollect account to create the collection and monitor payments.

  • What's the best way to collect money for a school trip?

Set a firm payment deadline at least two weeks before you need to finalise numbers with the coach or venue. Create a single Kollect link for the full amount (or an initial deposit), share it via the school's usual parent communication channel, and close it on the deadline. You'll have a confirmed list of paying pupils before you need to commit to final numbers — no cash to reconcile, no paper forms to chase.

  • Can we use Kollect for multiple school trips?

Yes — each trip gets its own link, amount and deadline, so there's no risk of payments crossing between year groups or trips running at the same time. If a trip runs over two payment stages (deposit first, balance later), you can create two collections for the same trip and share them at the appropriate points in the term.

  • Is it safe for school use?

Payments go through a standard card payment flow — the same kind parents use for online shopping. No card details are shared with the school or the organiser; you see only who has paid and for how much. The payment data itself is handled by the payment processor, not stored in Kollect.
